Privacy Policy

This Privacy Policy explains how ScutiW AI and ScutiW Superintelligence (collectively, “we,” “us,” or “our”) collect, use, share, and protect information when you access or use the DroneReport websites, applications, and related services (the “Service”). The Service is managed and operated by ScutiW AI and ScutiW Superintelligence. The software license for DroneReport is owned by Astro Arpanet LLC. By using the Service, you agree to the practices described here. If you do not agree, do not use the Service.

This Policy should be read together with our Terms of Use. If there is any conflict between this Policy and the Terms of Use regarding dispute resolution or liability, the Terms of Use control to the fullest extent permitted by law. This Privacy Policy describes data practices; it is not a warranty, service-level agreement, or promise of security or availability. Liability for the Service is governed exclusively by the Terms of Use.

1. Information we collect

• Account data — name, email address, password (when you use email/password sign-in), optional multi-factor settings, and identifiers from optional third-party or enterprise sign-in if you enable them.
• Organization / team data — workspace membership, roles (for example owner, admin, reviewer, inspector), and related invitations.
• Billing data — handled by our payment processor when you subscribe. We store plan status and the identifiers needed to provide paid features (Starter, Team, Business). We do not store full payment card numbers.
• Inspection & job data — jobs you create (client name, site, asset type, notes, location if provided), uploaded photos and related metadata, pins/annotations, measurements, findings (labels, severity, notes, status), checklists, map assets or external map links, report versions, share-link settings, client comments on share links, and audit events.
• Integration credentials (optional) — if you connect an export destination, we may store credentials and settings needed to send packages at your direction.
• API & webhook configuration — API key metadata, webhook addresses, subscribed events, and delivery logs, if you use those features.
• Contact messages — name, email, topic, and message content you submit via the contact form (delivered by email to our operators).
• Usage & technical data — IP address, browser/device information, approximate request timing, and logs needed to operate and secure the Service.
• Cookies & local storage — as described in Section 7.

2. Your content; no inspection services

The Service is software used to store photos and produce documents. We do not perform drone inspections. You determine the purposes of inspection content you upload and whether you have the right to process it. We process that content only to provide the Service. You are responsible for notices, consents, and lawful grounds for people or property appearing in photos.

• Storage — photos, findings, and related records are stored so your team can review work and deliver client materials. We use service providers to host and store this data as needed to operate the Service.
• AI analysis (optional) — if you use paid AI analysis and a vision/text provider is configured, selected images or text may be sent to that provider to suggest findings or summaries. Suggestions are assistive only; you confirm, edit, or reject them. Provider processing is governed by that provider’s terms and privacy practices.
• Client share links — if you create a share link, recipients who have the link may view the shared report content and (where enabled) submit comments. You control whether and when to create, expire, or revoke links. Treat share URLs as sensitive.
• Your responsibility — you (or the inspection company you hired) perform the drone work and inspection. You assume and own all liability for use of the Service and for any report you generate or deliver. You are responsible for authorizing uploads, human review of findings, client disclosures, and any report you deliver. DroneReport only provides software. It does not inspect assets and does not certify condition, safety, code compliance, or insurance readiness.
• No liability for inspections or output — to the fullest extent permitted by law, the Protected Parties described in the Terms of Use have no liability for drone flights, inspections by you or other companies, defects in output, wrong measurements, or reliance on reports or suggestions. This Policy is not a warranty. See our Terms of Use.

3. How we use information

• Provide, maintain, secure, and improve the Service.
• Operate login, jobs, uploads, findings review, QA/approval, report export, email delivery of reports you request, and share links.
• Run optional AI suggestions when you request analysis.
• Process subscriptions, prevent abuse/fraud, and enforce plan limits.
• Respond to contact-form and support requests.
• Comply with law, protect rights and safety, and investigate suspected misuse.

4. Legal bases (where applicable)

Depending on your location, we may process personal data based on:

• Contract — to provide the Service you request.
• Legitimate interests — to secure, improve, and administer the Service, prevent abuse, and support customers.
• Consent — where required (for example certain optional cookies/analytics).
• Legal obligations — to comply with applicable law.

5. How we share information

We do not sell your personal information. We may share information with:

• Service providers — companies that help us host the Service, store files and records, send email, process payments, and (if you use analysis features) run optional AI. They may process data only as needed to provide those services to us and must protect it appropriately.
• Integrations you enable — if you connect a third-party destination or similar export, content you choose to send may be transmitted to those systems under their terms.
• Your collaborators & clients — team members you invite, and recipients of share links or emailed reports you send.
• Business transfers — in a merger, acquisition, financing, or sale of assets, information may transfer to a successor.
• Legal compliance — when required by law, legal process, or to protect rights, safety, or the security of the Service.
• Aggregated / de-identified data — that does not reasonably identify individuals.

We are not responsible for how third-party providers, integration destinations, or your clients store, use, disclose, or secure data once it leaves DroneReport under your direction. We are not liable for your collaborators’, clients’, or share-link recipients’ acts.

6. Retention & your rights

We retain information as long as needed to provide the Service, comply with law, resolve disputes, and enforce agreements. You may export reports from the product where available. You may request account deletion via in-product account controls (where available) or the contact form. After deletion, associated job/photo/finding records are removed subject to backup retention and legal holds. We retain billing records as required for law, accounting, and fraud prevention.

Depending on your jurisdiction, you may have rights to access, correct, delete, restrict, or port certain personal data, or to object to certain processing. Submit requests via the contact form. We may need to verify your identity before acting.

7. Cookies & local storage

When you use DroneReport in a browser, we may use cookies and similar technologies as follows:

• Necessary — session / sign-in cookies so you can stay signed in and use protected features.
• Preferences — optional local settings (including field offline queues or similar browser storage when used).
• Analytics — reserved for optional product measurement. We do not currently load third-party analytics scripts. If enabled in a future release, they will remain off until you opt in. We do not use advertising cookies.

You can manage cookies anytime via Cookie settings or your browser settings. Clearing site data may sign you out or reset local preferences.

8. Security

We implement reasonable administrative, technical, and organizational safeguards appropriate to a commercial online product. No method of transmission or storage is 100% secure. We cannot guarantee absolute security. Statements in this Policy about safeguards are descriptive only and do not create a warranty, guarantee, or liability beyond the Terms of Use.

You access the Service at your own risk. We are not responsible for unauthorized access arising from factors outside our reasonable control, including your devices, networks, credentials, share-link distribution, third-party systems, or integration destinations. Report suspected security issues via the contact form.

9. International transfers

Your information may be processed in countries other than where you reside. Those countries may have different data-protection laws. By using the Service, you understand that transfers may occur as needed to operate the Service through our providers.

By using the Service, you take the risk of that transfer. We are not liable for your compliance with your local country’s data-protection or other legal requirements. Where a data-protection law applies to you, you keep only those rights that law does not allow you to waive. Those rights do not change that we provide software only, and they do not create extra contractual liability for inspections, flights, or reports generated by you or other companies. Liability remains as stated in the Terms of Use, except to the minimum extent a data-protection statute mandatorily requires otherwise.

10. Children’s privacy

The Service is directed to commercial and professional users, not children. We do not knowingly collect personal information from children under 16 (or the equivalent minimum age in your jurisdiction). If you believe a child provided personal information, contact us via the contact form so we can take appropriate steps.

11. Updates

We may update this Privacy Policy from time to time. Changes become effective when posted on this page (with an updated “Last updated” date). Continued use of the Service after changes means you accept the updated Policy. We encourage you to review it regularly.
